Everyone at your radio station should have a user account in SPARC Media Hub.
- Login to SPARC Media Hub using your favourite browser
- Select AdminCP from the sidebar (If you do not see "AdminCP", you do not have sufficient permissions)
- Select "User Management" from the sub menu. (If you do not see "User Management", you do not have sufficient permissions)
- Select "Edit User Groups"
On the left, all the user groups that are already created will be listed. To add a new user group, fill in the field at the bottom of the table and click "Add Group".
To edit a user group that is already created, click on "Edit Group" next to the corresponding group. The fields on the right will automatically change to reflect the permissions assigned to the group you are editing. Check or uncheck permissions to fit the user group. Once everything is ready, click on "Save User Group". All changes will be saved and immediately in effect.
What do all the permissions mean?
Account Permissions
Submit Feedback: This setting will allows the user to submit feedback for RadioPromoHub either directly to our developers or to a user with your organization.
Edit Account Settings: This gives the user general access to change their account information such as social media links, bio, audio demo, notifications etc.
Administration Permissions:
Configure Automation Settings: Access to edit the automation settings within SPARC Media Hub. This allows the user to change the automatic emails sent to listeners with listener pick up information, etc.
Configure Access Control Panel: Allows users to grant access to other markets in your organization to your creative dashboard, client list and creative request archive.
Access to All Clients: Allows the user to gain access to the full client list in SPARC Media Hub. This is commonly used for users who are submitted items on behalf of a rep. Ex. New Copy Request etc.
Configure System Settings: Access to edit the master settings in your SPARC Media Hub installation.
Configure Custom Fields: Allows users to add, edit and delete any custom fields on any forms in SPARC Media Hub.
View Texting Settings: Access to the Texting Bounce Back settings. Users can add, edit and delete automated bounce back messages on all text lines.
Configure Mail List: Access to change all email notification lists such as Creative Requests, Promo Drafts and more.
View/Print Reports: Permission to view and print reports such as on air mentions reports.
User Permissions:
Add New User Account: Add New Users to your system
Edit User Accounts: Make changes to existing user accounts
Delete User Accounts: Delete user accounts from your system
View All User Accounts: View the User menu under Admin Control Panel menu. This setting must be active if you wish to add/edit users or edit user groups.
Manage User Groups: Permission to edit user groups.
Manage Dayparts: Allows you to add, edit or delete any of your station’s shows and dayparts.
Assignment Permissions:
Assign To Remotes: Allows the user to be assigned to remotes as the main announcer.
Assign As Remote Op: Allows the user to be assigned to remotes as the remote operator.
Assign To Promo Events: Allows the user to be assigned to any promotional event with the stations they're assigned to.
Giveaway Prizes: Allows the user to be assigned to prizes to be given away on the air.
Execute Mentions: Allows the user to view mentions on their dashboard and mark them as executed.
Available For Voice Requests: Allows the user to be assigned voice requests either locally or from other markets using SPARC Media Hub.
Assign As Writer: Allows the user to be assigned as a writer to any creative request.
Assign As Producer: Allows the user to be assigned as a producer to any creative request.
Campaign Permissions:
Edit Campaigns: Allows you to make changes to any existing campaigns in the Campaign Manager.
View Campaigns: Allows you to view any existing campaigns in the Campaign Manager.
Campaign Manager (Non-Admin): Access to the non-admin version of the Campaign Manager. This allows users to create and edit campaigns. They will not have the ability to approve campaigns or any section of campaigns. They will also not have ability to create mentions, giveaways or events – only the ability to send requests for such things.
Campaign Manager (Admin): Access to the admin version of the Campaign Manager. This allows users to create and edit campaigns. Unlike the non-admin versions, these users will have the ability to approve campaigns or any section of campaigns. They will also have ability to create mentions, giveaways or events.
Creative Permissions:
Submit New Copy Request: This allows the user to submit new copy requests to Creative for either a client or station promo for contracts already booked via the Traffic System.
Submit Schedule Audio Requests: Schedule audio that is already produced to a contract already booked in the Traffic System.
Submit Extension Requests: Submit extension requests to extend the end date for creative already scheduled and running on air.
Submit Demo Requests: Submit demo requests to Creative for potential new clients and existing clients looking to update their creative.
Submit Dub Requests: Submit dub requests to Creative for audio that has been supplied by an agency and just needs to be imported into the system.
View Creative Status: General access to view up-to-date creative status' on the users main landing.
Search User Creative: General access to allow the user to search all their creative for all clients ever submitted via SPARC Media Hub. This will only show clients associated with the assigned rep.
Manage All Creative Requests: Access to the Creative Dashboard with the ability to make any changes to status, assigned writer and producer, upload spots and scripts etc.
Search All Creative: This allows users to search for any client in the database not just clients that are associated with.
Manage Voice Request: Allows users to send/receive voice requests from other markets. This also gives the user access to the Voice Requests Reports which show the most popular voices/market for voicing.
Client Permissions:
Add New Client: Allows user to add new clients to any user account. Must have access to View Clients
Edit Clients: Allows user to edit clients. This includes moving clients from one user to another. Must have access to View Clients
Delete Clients: Allows user to delete client from RadioPromoHub. Must have access to View Clients
View All Clients: General access to view all clients in the AdminCP. This also gives access to Client Profiles.
Promotions Permissions:
Submit Event Requests: General access to submit promo event requests to the Promotions Team.
View On Air Mentions: General access to view assigned On Air Mentions.
View Promo Calendar: General access to view the promotions calendar, both master and personal. This setting also needs to checked off for access to the remote calendar.
View Promo Assignments: This setting gives user access to view promotion events and remotes they are assigned to on their dashboard.
View Promo Calendar (Admin): This setting allows the user to view the administrative promotions calendar for quick access to edit promo events and prizes.
Manage Promo Items: Gives user access to add, edit and delete promotion items available for each event.
View Promo Drafts: View and edit all promo event requests submitted to Promotions Team.
Publish Events to Calendar: Gives user permission to push complete event to the calendar, notifying all those involved. Must have access to view promo drafts.
Manage Shipping List: Allows users to view the list of prizes that need to be shipped to prize winners. This setting also allows the user to actually ship the prize.
On Air Mentions Permissions:
Create New On Air Mentions: This allows the user to create new on air mention assignments to other users. Must have access to Manage On Air Mentions.
Manage On Air Mentions: This allows the user to view all on air mentions.
Manage Mention Queue: Allows users to see the “to do” list of mentions that need to created. This list is generated via the Campaign Manager.
Jock Talk Permissions:
Add Jock Talk: This gives user access to add jock talk. Must have access to view all Jock Talk (Admin).
Edit Jock Talk: This gives user access to edit jock talk. Must have access to view all Jock Talk (Admin).
Delete Jock Talk: This allows the user to delete jock talk from SPARC Media Hub. Must have access to view all Jock Talk (Admin).
View All Jock Talk (Admin): This give the user general access to view all Jock Talk from the AdminCP.
View All Jock Talk (Staff): This gives user general access to view jock talks and add executions.
Prizing Permissions:
View Winner List: Access to view master winner list and allow listeners to redeem prizes at front counter.
Edit Winners Information: Allows users to make a change to winner’s information after it has been submitted to promotions.
Forfeit Prizes: Users can forfeit a prize if the winner decides they no longer want it.
Manage Ban List: Add, edit or delete prize winners on the ban list, which disallows that person from winning prizes with your cluster of stations.
Manage Prize Inventory: Access to edit prize inventory and monitor prize tracker.
Manage Prize Giveaways: Access to add/edit/delete Prize Giveaways and assign to users.
View Prize Calendar: General access to view prize calendar from the AdminCP.
Manage Prize Queue: Allows users to see the “to do” list of giveaways that need to created. This list is generated via the Campaign Manager.
Remote Permissions:
Book Remotes: Allows the user to book remotes for their clients.
Revise Remote Bookings: Allows the user to modify their existing remote bookings.
Cancel Remote Bookings: Allows the user to cancel their existing remote bookings.
View Remote Calendar (Clients Hidden): This gives user access to the remote calendar while having the client names hidden to prevent competitive bookings. Optional.
View Remote Calendar (Clients Visible): This gives user access to the remote calendar with the client names visible.
View All Remotes: This gives user access to view all remotes in the Remote Dashboard.
Manage Remote Assignments: Approve and assign staff as announcers and remote ops for remotes.
View Remote Assignments: Gives user access to view assignments for remotes.
Manage Remote Presentations: Access to create and view remote presentations.
Receive Remote Cancellation Alerts: Emails the user when a remote has been cancelled in the event they have a client who wants that timeslot. This does not show client name just date and station.
Tools
Jock Dashboard: Access to view Jock Dashboard in the main landing page. Showing information like: Five most recent winners on the station, Jock Talks, upcoming station events.
Prep Tools: Gives users access to all pre features including: Prep Sheet Builder (users can create rundowns/prep sheets for their shows everyday), Prep Collaborate (users can collaborate on topics and ideas for their show), and Prep Board (an interface that pulls in content via RSS feeds from announcer’s favorite websites and social media accounts).
Logger: Gives users access to record online streams of their favorite stations.
Phone Screener: Gives users access to SPARC Media Hub’s phone screener (if available).
Texting Permissions
Text System: Access to view the texting system to assigned stations only.
Blocked Numbers: Ability to add, edit and delete blocked numbers on text line. This is used for persistent, annoying or rude texters.
Manage Keywords: Gives user access to edit/view keywords and their entries.
Manage User Database: Add, edit and delete users in the database. Some stations refer this feature as the “Contact List”.
View Reports: The ability to view all texting reports such as text messages sent and received by each station.
Send Winner Texts: Allows user to send replies and new messages to people who have won prizes via the Info & Media Files section on the winner list.
